Title:
Your company has been recently taken over by another company, and your department has been restructured. This has resulted in a number of problems which you want to make the new owners aware of. Write a letter to the managing director of the new owners:
1.   Outlining what the situation in your department was before the takeover
. 2explaining what problems have arisen and why
3.   suggesting how these problems could be solved
4.   Warning what might happen if these problems are not resolved.
Dear Mr White,
Since our company was taken over by your company, a lot of issues have arisen within the whole organization, especially in the department I charge, sales department. I am writing to detail them to you.
Before the takeover, all the staff in my department worked passionately and hopefully. They were activated in proposing new ideas and strategies and always took the initiative to fulfill the urgent assignments. What’s more, they formed a high teamwork spirit and cooperated with one another coherently, which tremendously elevated our work efficiency and turnover.   However, it became another story after the restructure of my department. To begin with, the morale of the staff keeps falling obviously after the takeover due to the implicit work assignments. In the past we got clear goal and schedule from superiors and moved directly to our target. But now I received little instruction about what we need to accomplish in a given period. Worse still, since we have downsized our department on a large scale, the remaining staff are feeling insecure and reluctant to perform as efficiently as before due to the uncertainty of whether they can stay in the company for long. Furthermore, recently, we are receiving more and more complaints from our customers about the quality of products and after-sale services which have been the core competitive strengths of our company. The reason behind it, I think, is that the staff coming from two companies cannot work consistently because of different corporation cultures and conventions. The divergent ways of dealing with matters will surely lead to the problem. To solve the problems, first of all, I think we should set clear and coherent targets within different
periods to our staff, ensuring they have a clear picture of their tasks, which can avoid loafing on work and boost the morale of the workers. Secondly, in order to assure a sense of job security, we should guarantee the staff long-term employment unless some knowing and serious faults committed. Thirdly, as with the incoherent cooperation among the staff, I strongly suggest we hold regular meetings to share thoughts to further communication so as to be familiar with one another. Also, we can organize some after-work activities for the staff to relax their tight nerves as well as training their teamwork spirit.
The problems I mention above should be taken seriously and the measures I propose need to be implemented timely in order to prevent the situation worsening. Otherwise, our work efficiency will decline, so will our turnover and profits as well as our company image. I firmly believe after all the measures are practiced, the sales department will regain its vitality and even perform more exceptionally than ever.
Look forward to your timely reply.
Best regards
Mr Lai
